About the Collingwood Football Club 
Collingwood Football Club (CFC) was founded in 1892.

Local residents, community and business leaders and politicians all hoped that having their own football club could help bring a measure of pride to a downtrodden suburb.

In 2026, CFC is one of the great icons of Australian sport. Our history spans 130 years, 16 premierships and more finals appearances than any other club. Most importantly, Collingwood has grown from being a football club to a sports club with a commitment to our community.

 

The Opportunity

The Executive Assistant to the CEO & Office Manager is a pivotal, trusted role at the heart of the Club, responsible for ensuring the seamless operation of the CEO’s office while overseeing the day‑to‑day functioning of our work space.

This role provides high‑level, proactive executive support to the Chief Executive Officer and works closely with the Executive Leadership Team, and key internal and external stakeholders. Acting as a central point of coordination, the role manages diaries, confidential matters, and critical follow‑ups to enable the CEO to focus on strategic leadership and decision‑making.

In parallel, the role leads the effective management of the office environment, ensuring a professional, positive, welcoming and enabling work space that supports productivity, culture and engagement. From facilities and suppliers to reception, events and office presentation, this role sets the standard for how the Club operates day‑to‑day.

Operating in a fast‑paced, event‑driven environment, the Executive Assistant to the CEO & Office Manager is a visible driver of positive culture and role model, bringing discretion, sound judgement, exceptional organisation and a people‑first mindset. Office Operations & Administration

  • Be the front of house representative for the Club (reception duties)

  • Manage day-to-day office functions including reception, mail, supplies, and facilities.

  • Maintain office policies and procedures and ensure compliance.

  • Liaise with building management (where appropriate) and service providers.

  • Process office related invoices, purchase requests.

  • Manage relationships with vendors and service providers.

  • Manage the Premiership Cup collection and loan service.

Executive Support

  • Provide high‑level administrative and project support to CEO including diary management and, where appropriate to key Executives ensuring seamless coordination across the Club

  • Manage competing priorities, deadlines, and workflows

  • Coordinate cross‑departmental meetings, workshops, and project touchpoints, including agenda preparation, minute‑taking, and action tracking

  • Support project planning by preparing documentation, timelines, briefs, and updates for stakeholders

  • Act as a central point of contact for internal and external stakeholders, ensuring timely and accurate communication

  • Prepare high‑quality reports, presentations, and correspondence

  • Uphold confidentiality and exercise sound judgement when handling sensitive information

  • As an event based business, this position will assist the Chief Executive Officer with the coordination and hosting of events such as boardroom lunches, corporate presentations through to supporting President’s functions on match days and key club events.

Facilities & Equipment

  • Schedule and perform minutes secretary function for OHS meetings and all follow up.  Support with the OH&S Checklists for the office.

  • In conjunction with Facilities help coordinate repairs and maintenance as needed.

  • Oversees the overall presentation of the offices, taking corrective action to drive presentation standards and escalating any concerns to the relevant Executive members and stakeholders.

  • Manage the visitor sign in process and executive car park.

  • Schedule and book pest control and hygiene services

  • Assist with the onboarding of new employees and workspace setup.

  • Responsible for reset of admin kitchen daily (maintain kitchen roster, replenish consumables, cutlery etc.)

  • Administer all meeting room bookings

  • Miscellaneous office equipment purchases (under $250) including office requests (picture frame, IKEA shelf etc.)

Communication & Culture

  • Act as a point of contact for internal and external communications.

  • Support initiatives that promote a positive office culture.

  • Assist with the organisation of staff events and engagement activities.

  • Appropriately engage relevant managers and stakeholders across the organisation in a manner which inspires ownership, enthusiasm and commitment to assigned tasks.

  • Demonstrate the highest level of integrity and ethics at all times, living the values of the Club and embed our brand value.

  • Influencing across the Club and role modeling all culture and workplace standards, and initiatives to drive an environment of professionalism and continuous improvement.

About you

To be successful as the Executive Assistant to CEO and Office Manager, you will be someone who:

  • Proven experience supporting a CEO in a fast‑paced, complex environment

  • Exposure to board and executive meetings, including agenda coordination, minute‑taking and action tracking

  • Exceptional judgement, discretion and confidentiality

  • Ability to anticipate executive needs and operate proactively rather than reactively

  • Strong relationship management skills with senior leaders, board members, and external stakeholders

  • Calm, professional presence when acting as the CEO’s office representative
